Opticals: how the screens work
Optical items: the GST note and prescriptions
Both of these need the opticals setup on your workspace, which adds the item and bill fields an optical store uses: Optical category on an item, and both eyes’ SPH, CYL, axis and ADD, PD, who prescribed it and the Rx date on a bill.
The GST note beside HSN
On an item’s form, a GST note for this optical item sits beside the HSN code. What it says follows the item’s Optical category:
- Corrective eyewear for frames, spectacle lenses, contact lenses and ready reading glasses. These moved to a new GST rate on 22 Sep 2025, so check the item’s HSN code.
- Non-corrective eyewear for sunglasses, which are taxed differently from corrective eyewear.
- Accessory for solutions and accessories, which follow their own HSN code.
With no category chosen, the note asks you to choose one. The note is guidance only: it never sets the rate. The rate comes from the HSN code you choose, so confirm it with your CA.
Reusing a customer’s last prescription
On a new bill, pick the customer. Finocket looks for their earlier prescriptions, from earlier bills and from their prescription records, and shows the Last prescription. If there is more than one, use Choose a prescription to pick an earlier one. Tap Use this prescription to copy it into the bill.
- Only empty fields are filled. Anything you already typed is kept, and the panel says how many fields it filled, or that there was nothing to fill.
- Each bill keeps its own copy. The prescription stays on the bill, so every order keeps the prescription it was made from.
- No earlier prescription? The panel says so, and what you type on this bill becomes the customer’s history.
An eye test without a sale can be kept as an Eye prescription record under Records. That record type needs a setup step on your workspace; until it is done, the panel says the record type is not there yet and only earlier bills are read.
To correct a saved Eye prescription, open it under Records and choose Edit. Fix the prescription values or dates, then save. To retire a prescription, change its status to Closed and save instead of deleting it. A closed record stays on file and is no longer offered by Use last prescription; the Eye prescription picker on a bill still lists it. Correcting a record does not change a bill already made.
To import a prescription list, open Import records under Records and choose Eye prescription. With the opticals setup in place, headers such as R SPH and OD SPH map to right-eye SPH, PD maps to PD, Doctor maps to who prescribed it, and Rx date maps to the prescription date. Review the mapping before importing.
Picking a saved prescription on the bill
A bill also has an Eye prescription field. Pick the customer first: the field then lists only that customer’s saved Eye prescription records, each named by its Rx date and who prescribed it. Before a customer is picked it lists every saved prescription in your workspace. It has nothing to offer until the record type above is set up and a record is saved. Pick one and all eleven prescription values (both eyes’ SPH, CYL, axis and ADD, PD, who prescribed it and the Rx date) are copied onto the bill, replacing what was there; a value left blank on the record clears it on the bill. The bill keeps its own copy: editing the record later never changes a bill already made.
Spectacle orders and eye tests
On the Invoices screen, a card called Spectacle orders and eye tests reads the delivery date, order status and next eye test you note on your bills. It shows only on a workspace with the opticals setup. It has two lists:
- Pairs to hand over: every bill with a delivery date whose order status is not Collected, soonest first, marked overdue, today or in so many days. Each pair on the card has an order status select and a delivery date box, and both work on an issued bill as well as a draft. Choose Ordered, At the lab, Ready or Collected, or change the delivery date: each control saves the change. A cancelled bill cannot be changed. A read-only seat sees the status and date controls switched off.
- Eye tests due: one line per customer, from their newest sent bill with a next eye test date, when that date falls between 60 days ago and 30 days from now. A customer billed again since is left off: they have been in. Tap the phone number to call them.
Only sale bills count. A quotation, delivery challan or credit note with these dates is never listed, and a draft order never sets an eye test date.
The first-day getting-started list for an optical shop walks you through adding frames and lenses under Items, adding a spectacle order with its prescription on the bill, checking the orders card under Invoices for pairs to deliver and eye tests due, and adding your team under Team so staff have their own sign-in.
The prescription on the printed bill
When the auto and long-tail trades pack is switched on for your workspace, a new opticals setup prints the prescription on the customer’s bill: Right eye first (SPH, CYL, axis, ADD), then Left eye, then PD, who prescribed it, the Rx date, the delivery date and the next eye test due. Order status is your own tracking and never prints. You can switch any of these off under your custom fields.
