Run a C&F warehouse on Finocket

Three godowns, every rack and bin addressed, putaway on receipt, pick lists that tell the picker exactly which bin to walk to, packages weighed and dispatched - and the stock on the floor agreeing with the stock in the books.

What you set up

Warehousing & C&F distribution businesses run on the Business plan, which turns on 38 modules:

Turn any of these off if you don't need them - see setting Finocket up for your trade for the two decisions worth getting right on day one.

What you'll do day to day

Godowns with their state and GSTIN

Signed in as the owner, open /inventory. Three godowns in Maharashtra, each with its state code; stock by godown after sales.

Every rack and bin addressed

Signed in as a staff member, open /inventory/bins. Khapri warehouse: racks A-F, five levels, staging and returns bays; stock by bin.

Putaway on receipt

Signed in as a staff member, open /warehouse/putaway. An inward truck's lines each get a suggested bin; confirm and the bin quantity moves.

Pick lists that walk the aisle

Signed in as a staff member, open /warehouse/pick-lists. A dealer order's pick list sorted by bin; one short line with a reason code.

Pack, weigh, dispatch

Signed in as a staff member, open /warehouse/packing. Packages with weight and dimensions, dispatched against the pick list.

Stock moves between godowns on paper

Signed in as a staff member, open /inventory/transfers. A posted transfer from Khapri to Butibori; both godowns move; in-transit until received.

The count that posts

Signed in as the owner, open /inventory/count. Count rack C; the finalised count posts the real variance.

Returns into the returns bay

Signed in as a staff member, open /warehouse/returns. The RET-01 returns bay at Khapri, where returned cartons wait for a disposition.

Order, receipt and bill matched

Signed in as the accountant, open /procurement. A depot purchase order, its goods receipt and the supplier's bill side by side.

E-way bill on the inter-state invoice

Signed in as a staff member, open /invoices. A Raipur dealer invoice with the e-way bill, vehicle and transporter in the dispatch block.

Paid net of the storage client's TDS

Signed in as the accountant, open /invoices. A Brightline storage bill and its receipt with the TDS the client withheld recorded: cash in is net, the bill is paid at gross.

Fleet costs tagged by vehicle

Signed in as the accountant, open /expenses. Freight and handling bills booked with the vehicle number, trip reference and fleet expense type.

A Nagpur C&F warehouse where the floor and the books agree

Before: Stock by godown only, pickers walking the aisles looking, and transfers between godowns on paper.

With Finocket: Racks and bins addressed, pick lists sorted by bin, packages weighed and dispatched, and posted transfers between three godowns.

(Sample business: Vidarbha Warehousing & Logistics, a demo warehousing & c&f distribution workspace in Nagpur, Maharashtra - not a real customer.)

With the warehousing and logistics pack

Lorry receipts, vehicles, trips and what each trip made are on the Transport screen: see Transport: lorry receipts, vehicles and trips.

Billing a client for storage

Open Warehouse and tap Storage charges. Under New storage charge:

  • Client and month. Pick the Client and the Month you are billing.
  • Basis. Per pallet, Per sq ft, Per cubic ft, Per MT, Per package or Lump sum.
  • Quantity, days and rate. Enter the Quantity and the Days in whole numbers, with the days inside that month, and the Rate per unit per day (₹). For a lump sum you enter only the Amount (₹).
  • Agricultural produce. Tick it when the goods stored are agricultural produce. The charge is then flagged for your CA to review. Agricultural produce is never exempted automatically.

Charge shows the amount as you type. Tap Save storage charge: the amount is worked out again when it is saved, from the same figures, so what is saved never depends on the preview. The charges saved for the month are listed under Saved for this month, with a CA review tag on any that are flagged.

Saving a charge drafts no invoice. To bill it, tap Draft invoice on the saved charge, pick the SAC (996729 other storage and warehousing, 996721 refrigerated, 996722 bulk liquid or gas) and the GST rate (18% is filled in), and tap Draft the invoice. The draft has one line worth exactly the saved charge, and the row then links to it; asking again opens the same draft rather than making a second. Review it on Invoices before you send it. For agricultural produce the draft is charged at the rate you pick, never exempted automatically, and carries a note asking your CA to confirm the rate.

Saved one by mistake? Tap Remove on it and confirm. Removing a charge only takes the saved figure off the list so it is not billed. If an invoice was already drafted from it, Finocket says so and does not remove it: delete that invoice first, then remove the charge.

Fleet expenses by vehicle

When you book a freight cost on Expenses, fill in the pack's Vehicle no., Fleet expense type and, if you like, Trip / LR ref fields. The Fleet expenses by vehicle card at the foot of the Storage charges screen then adds up those expenses for the Month you choose: a total per vehicle, split by type (Diesel, Toll / FASTag, Driver advance, Loading / unloading, Repairs, Tyres, Permit / road tax or Other), and the trip references used. Vehicle numbers are grouped whatever their spacing or case.

An expense with a fleet expense type but no vehicle number is not in any vehicle's total; the card counts how many there are, so you can add the number. This card is not trip profit: the freight you billed is not netted against it. For a trip's freight revenue, cost and margin, use the trip P&L on the Transport screen.

Your warehousing reports

On Outstanding, under the receivables, a Warehousing reports card opens the reports a warehouse owner uses most:

  • Stock by godown. Stock held at each godown. Sales do not yet record which godown they left from, so check it against your floor count.
  • Freight TDS (194C). The TDS summary: the TDS your clients withheld from what they paid you, by client and section, to check against your Form 26AS.
  • HSN / SAC summary. Your sales by HSN and SAC code, storage and freight included, for GSTR-1.
  • Billing by client. Sales analysis, for what you billed each client.
  • Profit & loss. Your profit and loss, where fleet expenses sit against freight and storage income.
